This Privacy Notice for BaseballPath LLC (doing business as BaseballPath) ("we," "us," or "our"), describes how and why we might access, collect, store, use, and/or share ("process") your personal information when you use our services ("Services"), including when you:

  • Create an account, submit baseball metrics, academics, and preferences, and receive a recruiting report of best-fit college programs
  • Use our organization tools to manage player families, generate college-coach outreach email drafts, and track coach replies
  • Optionally connect a Google (Gmail) account so we can create outreach drafts and surface college-coach replies
  • Engage with us in other related ways, including any sales, marketing, or events

What personal information do we process? Do we process any sensitive personal information? Many of our users are high-school students under the age of 18. Where a user is a minor, a parent or guardian must consent to and supervise their use of the Services. Do we collect any information from third parties? Yes. When you use our optional Google (Gmail) connection or an equivalent mail-forwarding rule, we receive the replies that college coaches send to your recruiting emails. If you join through a travel or recruiting organization, we receive roster information about you from your organization. We also maintain a directory of publicly listed college coaching-staff contact information and a database of publicly available athlete information used for the comparisons shown in reports. How do we process your information? We process your information to provide, improve, and administer our Services, to generate your recruiting report, to create and manage recruiting email drafts, to surface coach replies to you and, for organization customers, to your organization coach, to communicate with you, for security and fraud prevention, and to comply with law. In what situations and with which parties do we share personal information? We share information with the service providers that help us run the Services and, for organization customers, with the family's organization coach. We also share a limited set of information with Meta Platforms (Facebook and Instagram) so we can measure our advertising. Learn more about when and with whom we share your personal information.

Do we use your information for advertising, and can you turn it off? We use Meta advertising tools to measure which of our ads lead to a purchase. Some state privacy laws treat that as "sharing" for targeted advertising, so you can turn it off at any time, and we honor Global Privacy Control signals. We never send a player's baseball metrics, academics, video, school list, or report to an advertising partner. Learn more about advertising and your choices.

How do we handle information from Google APIs? If you connect your Gmail account, our use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Learn more about our Google and Gmail connection.

How do we keep your information safe? We have adequate organizational and technical processes and procedures in place to protect your personal information. However, no electronic transmission over the internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information. 1. WHAT INFORMATION DO WE COLLECT?

Personal information you disclose to us

In Short: We collect personal information that you provide to us.

We collect personal information that you voluntarily provide to us when you register on the Services, submit your baseball and academic information to receive a report, use our organization tools, connect a Google (Gmail) account, express an interest in obtaining information about us or our products and Services, or otherwise when you contact us.

Personal Information Provided by You. The personal information that we collect depends on the context of your interactions with us and the Services, the choices you make, and the products and features you use. The personal information we collect may include the following:
  • Player and parent or guardian names
  • Email addresses
  • Phone numbers, where you provide one (for example, organization staff contact details or a roster sheet)
  • State of residence
  • High-school graduation year
  • Date of birth, which we use to show age-based college eligibility timelines
  • Baseball metrics and performance statistics, including position, height, and weight
  • Academic information, such as GPA and SAT or ACT scores
  • School, region, and other recruiting preferences
  • The content of recruiting emails you draft and, where you use the Gmail connection or an equivalent forwarding rule, the college-coach replies to those emails
Information about minors. Because our Services are directed to families of high-school athletes, the player is often a minor. Where the account or invite holder is a parent or guardian, the information above may relate to their child. We handle this information as described in the section "DO WE COLLECT INFORMATION FROM MINORS?" below.

Payment Data. Reports are paid, and when you buy one we collect the data necessary to process your payment, such as your payment instrument number and the security code associated with your payment instrument. All payment data is handled and stored by Stripe. We do not store your full card number. You may find Stripe's privacy notice here: https://stripe.com/privacy. If your organization provides BaseballPath to you under its own agreement with us, your organization handles any payment and we do not collect payment data from you.

All personal information that you provide to us must be true, complete, and accurate, and you must notify us of any changes to such personal information.

Information automatically collected

In Short: Some information, such as your Internet Protocol (IP) address and browser and device characteristics, is collected automatically when you visit our Services.

We automatically collect certain information when you visit, use, or navigate the Services. This information does not necessarily reveal your specific identity (like your name or contact information) but may include device and usage information, such as your IP address, browser and device characteristics, operating system, language preferences, referring URLs, device name, country, location, information about how and when you use our Services, and other technical information. This information is primarily needed to maintain the security and operation of our Services, and for our internal analytics and reporting purposes. We collect this information using our analytics provider (PostHog), our error-monitoring provider (Sentry), and, for advertising measurement, tools from Meta Platforms.

Cookies and similar technologies. We and these providers use cookies and similar browser storage to keep you signed in, to remember your settings and choices (including your advertising opt-out), to understand how the Services are used, and to measure our advertising. Meta's advertising cookies (_fbp and _fbc) are only set while advertising measurement is on for your browser. If you turn it off, or if your browser sends a Global Privacy Control signal, Meta's script never loads. See "Advertising partners, and how to turn advertising measurement off."

The information we collect includes:
  • Log and Usage Data. Service-related, diagnostic, usage, and performance information our servers and analytics tools automatically collect when you access or use our Services. Depending on how you interact with us, this may include your IP address, device information, browser type and settings, and information about your activity in the Services (such as date and time stamps, pages and features viewed, searches, and other actions you take), as well as device event information such as system activity and error reports.

Information we receive from other sources

In Short: We receive college-coach reply emails through the optional Gmail connection, roster information from your travel or recruiting organization if you join through one, and we maintain a directory of publicly listed college coaching-staff contact information.

When you use the optional Google (Gmail) connection, or set up an equivalent mail-forwarding rule, we receive the replies that college coaches send in response to your recruiting emails so that we can surface recruiting interest to you and, for organization customers, to your organization coach. If you are a player or family associated with a travel or recruiting organization that uses our Services, we may also receive roster information about you from your organization, such as your name, contact details, graduation year, position, and baseball metrics, so that the organization can invite you and help set up your player profile. We also maintain a directory of college coaching-staff contact information that is compiled from publicly listed sources, such as college athletics websites, to help families identify the right coaches to contact. We do not purchase personal information about you from data brokers. We do compile some information ourselves directly from publicly available sources, including the athlete database described below and, on occasion, contact information used for outreach about BaseballPath.

Information about athletes from public sources. We maintain a database of publicly available information about college and high-school baseball players, including names, schools, positions, class years, publicly reported performance statistics, and college commitment information, compiled from sources such as college athletics websites, public recruiting profiles, school websites, and public news coverage. We use this information to power the score benchmarking and school-fit comparisons shown in reports. If you are an athlete in this database and are not a BaseballPath user, you can contact us at business@baseballpath.com to review, correct, or request removal of your information.

2. HOW DO WE PROCESS YOUR INFORMATION?

In Short: We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law.

We process your personal information for a variety of reasons, depending on how you interact with our Services, including:
  • To facilitate account creation and authentication and otherwise manage user accounts. We process your information so you can create and log in to your account and keep it in working order.
  • To generate your recruiting report. We process the baseball metrics, academics, and preferences you submit to score your profile, project a realistic college division tier, match you against our school database, and return a ranked, humanized report of best-fit college programs.
  • To create and manage recruiting email drafts. We process your profile and preferences to draft college-coach outreach emails for you to review and send yourself.
  • To surface college-coach replies. Where you use the Gmail connection or an equivalent forwarding rule, we process coach replies to show recruiting activity to you and, for organization customers, to your organization coach so they can help you act on it.
  • To respond to your inquiries and offer support. We may process your information to respond to your inquiries and solve any potential issues you might have with the Services.
  • To identify usage trends and improve the Services. We process information about how you use our Services to better understand how they are being used so we can improve them.
  • To send you marketing communications. We may use your contact information, including contact information we compile from publicly available recruiting sources, to send you occasional marketing emails about BaseballPath. You can opt out at any time using the unsubscribe link in any marketing email or by emailing us at business@baseballpath.com.
  • For security and fraud prevention, and to comply with law. We process your information to keep the Services secure, prevent abuse, and comply with applicable legal obligations.

3. WHEN AND WITH WHOM DO WE SHARE YOUR PERSONAL INFORMATION?

In Short: We share information with the service providers that help us operate the Services, for organization customers with the family's organization coach, and with Meta Platforms so we can measure our advertising. We do not sell your personal information for money, and you can turn advertising measurement off.

Service providers. We share your personal information with third-party vendors, service providers, and contractors that perform services for us and require access to such information to do that work. We enter into contracts with these parties that require them to protect your information and use it only to provide services to us. The categories of service providers we use include:
  • Stripe, for payment processing.
  • Supabase, for our database, authentication, and hosting.
  • Resend, for transactional and inbound email.
  • OpenAI (and potentially Anthropic), to power the AI features described below.
  • Google, for the optional Gmail connection described below.
  • PostHog, for product analytics.
  • Sentry, for error monitoring.
  • Render, for backend hosting.
  • Vercel, for frontend hosting.
We may also share your personal information in the following situations:
  • Your organization coach. If you are a player or family associated with a travel or recruiting organization that uses our Services, we share your player profile, your report, and your recruiting activity, including college-coach reply activity, with your organization's coaches and staff so they can help you with your recruiting.
  • Business Transfers. We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.
  • Legal obligations and safety. We may disclose your information where we are legally required to do so, or where disclosure is necessary to protect the rights, property, or safety of BaseballPath, our users, or others.

Advertising partners, and how to turn advertising measurement off

We advertise BaseballPath on Facebook and Instagram, and we use tools from Meta Platforms, Inc. to measure whether those ads lead anyone to buy a report. This is the only advertising partner we share information with.

Two tools are involved, and this is everything each one sends:
  • The Meta Pixel, a script that runs in your browser on our pages. It reports the address of the page you are viewing, the page you came from, your browser and device details, and your IP address, and it sets and reads Meta's own advertising cookies (named _fbp and _fbc). Beyond page views, it reports two things: that a checkout was opened, and that a purchase was completed, along with the amount.
  • Meta's Conversions API, which our server uses to report a completed purchase once, after payment clears. It sends a one-way encrypted (SHA-256 hashed) version of the buyer's email address, the IP address and browser details captured when checkout started, the Meta cookie identifiers above, and the amount paid. The email address is never sent in readable form.
What we never send to an advertising partner: a player's baseball metrics, academics, grade point average or test scores, video, graduation year, position, the schools we matched them to, or any part of the report. None of that leaves our systems for advertising, ever.

We also do not run the pixel at all on the private links an organization shares with one of its families, because the link itself is the key to that page.

Players we know are minors. If a player tells us their date of birth and it shows they are under 18, we use it only to show recruiting-eligibility timelines, we never send it to Meta or any advertising partner, and we turn off our advertising-measurement tools (the Meta Pixel and the Conversions API) entirely for that player's account and browser, including at checkout. We do not offer an opt-out toggle for these accounts because we simply never send the data. For visitors we do not yet know are minors, the tools may run as described above, and you can opt out at any time, including via Global Privacy Control.

We do not sell your personal information for money. Several state privacy laws define "sale" and "sharing for cross-context behavioral advertising" (California) and "targeted advertising" (including Colorado, Connecticut, and Virginia) broadly enough to cover advertising measurement of this kind, so we treat it as sharing for targeted advertising and give you the right to opt out.

How to opt out. You have two ways, and either one is enough:
  • Use the Your privacy choices control at the bottom of this page. Turning it off stops both tools immediately in that browser, and the choice travels with your order so the server side stops too.
  • Turn on Global Privacy Control in a browser or extension that supports it. We honor that signal automatically, with nothing for you to click, and a setting on this page cannot override it.
Opting out changes nothing about your report, your price, or how the Services work. Because the choice is stored in your browser, please set it in each browser and on each device you use, or email us at business@baseballpath.com and we will handle it for your account.

4. DO WE OFFER ARTIFICIAL INTELLIGENCE-BASED PRODUCTS?

In Short: Yes. We use third-party AI providers to write the narrative insights in your report and to draft and summarize recruiting emails.

As part of our Services, we offer features powered by third-party artificial intelligence providers, primarily OpenAI, and we may also use Anthropic (collectively, "AI Service Providers"). We use these AI features to:
  • Write the narrative "why this school" insights that appear in your report; and
  • Draft and summarize your college-coach recruiting emails.
To power these features, relevant message content and profile data may be sent to and processed by these AI Service Providers. The AI Service Providers are bound by contract to act as our service providers and to process this information only to provide these features to us. We do not permit these providers to use your data to train their models. To be clear, your baseball scoring and school ranking are produced by our own deterministic rubric, not by an AI model; the AI features add narrative and email text only and do not change your score or ranking.

5. THE GOOGLE / GMAIL CONNECTION

In Short: You can optionally connect your Google (Gmail) account so we can place recruiting emails as drafts in your Gmail, send one of those drafts from your own address when you press Send on it, and read college-coach replies to those recruiting threads. We access only recruiting-related mail, and you can disconnect at any time.

What the connection does

We offer an optional feature that lets you connect a Google (Gmail) account so that BaseballPath can:
  • Place recruiting outreach emails as drafts in your Gmail Drafts folder, for you to review;
  • Send one of those drafts from your own address when you press Send on it, to the one school in front of you; and
  • Read college coaches' replies to those recruiting threads, so we can surface recruiting interest to you and, for organization customers, to your organization coach.

Narrow scope of access

We request only the narrow Gmail permission needed for this feature, which is the ability to read messages, create drafts, and send a draft you press Send on. We access only mail related to your college-coach recruiting correspondence. We do not read, use, or store the rest of your mailbox. Nothing is sent on a timer, nothing is sent in bulk, and nothing is sent that you did not press Send on.

Optional and revocable

Connecting your Google account is entirely optional, and you can disconnect it at any time from your account settings or from your Google account's security settings. As an alternative to connecting Gmail, we also offer a non-OAuth path that relies on a mail-forwarding rule you set up yourself. Both the Gmail connection and the forwarding rule can be turned off by you at any time.

Storage of coach reply data

To be clear, we store the college-coach reply data that we surface, and we show it to you and, for organization customers, to your organization coach so that they can act on it. We do not claim that we never save your data. We retain this reply data as described in "HOW LONG DO WE KEEP YOUR INFORMATION?" and you can ask us to delete it at any time.

Google API Services Limited Use disclosure

BaseballPath's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

In plain language, this means that BaseballPath:
  • Uses Google user data only to provide and improve the user-facing recruiting features described above;
  • Does not transfer or sell Google user data to third parties, except as necessary to provide these features, for security purposes, or to comply with applicable law;
  • Does not use Google user data to develop, improve, or train generalized or non-personalized artificial intelligence or machine-learning models; and
  • Limits human access to Google user data, except with your consent, for security purposes, or to comply with applicable law.

6. HOW DO WE HANDLE ACCOUNTS AND SIGN-IN?

In Short: Accounts are created with an email address and password through Supabase Auth. The Gmail connection is a separate email-access feature, not a way to sign in.

We use Supabase Auth to create and manage your account. To create an account and sign in, you provide an email address and set a password. The optional Google (Gmail) connection described in the section above is a separate feature used to create recruiting drafts and read college-coach replies. It is not a login or authentication method. Connecting your Gmail account does not sign you in to BaseballPath, and signing in to BaseballPath does not connect your Gmail account.

7. DO WE COLLECT INFORMATION FROM MINORS?

In Short: Our Services are directed to families of high-school athletes. Where a user is a minor, a parent or guardian must consent to and supervise their use. We do not knowingly collect data from children under 13.

BaseballPath is a recruiting service for high-school baseball players and their families. Players are typically between 13 and 18 years old, and the account or invite holder is often a parent or guardian. The Services are directed to families of high-school athletes and are not directed to children under the age of 13.

Where a user is a minor (generally under the age of 18 in the user's jurisdiction), a parent or guardian must review and agree to this Privacy Notice and our Terms and Conditions, must consent to the processing of the minor's personal information, and must supervise the minor's use of the Services. By providing a minor's information or allowing a minor to use the Services, the parent or guardian consents to the collection and processing of that information as described in this Privacy Notice, and that parental consent governs the minor's use of the Services.

We do not knowingly collect, solicit, or market to children under 13 years of age. If we learn that personal information from a child under 13 has been collected without verifiable parental consent, we will deactivate the account and take reasonable measures to promptly delete such data from our records. If you become aware of any data we may have collected from a child under 13, or believe that a minor has used the Services without appropriate parental consent, please contact us at business@baseballpath.com.

8. HOW LONG DO WE KEEP YOUR INFORMATION?

In Short: We keep your information for as long as necessary to fulfill the purposes outlined in this Privacy Notice unless otherwise required by law.

We will only keep your personal information for as long as it is necessary for the purposes set out in this Privacy Notice, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements). This includes the reports we generate, your recruiting email drafts, and the college-coach reply data we surface. We generally keep your personal information no longer than the period of time in which you have an account with us, except where we need to retain certain records for longer, for example to complete transactions, meet tax, accounting, or other legal obligations, resolve disputes, enforce our agreements, or maintain de-identified records that no longer identify you.

When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.

9. HOW DO WE KEEP YOUR INFORMATION SAFE?

In Short: We aim to protect your personal information through a system of organizational and technical security measures.

We have implemented appropriate and reasonable technical and organizational security measures designed to protect the security of any personal information we process. However, despite our safeguards and efforts to secure your information, no electronic transmission over the internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information. Although we will do our best to protect your personal information, transmission of personal information to and from our Services is at your own risk. You should only access the Services within a secure environment.

10. WHAT ARE YOUR PRIVACY RIGHTS?

In Short: You may review, change, or terminate your account at any time, depending on your country, province, or state of residence.

Withdrawing your consent: If we are relying on your consent to process your personal information, which may be express and/or implied consent depending on the applicable law, you have the right to withdraw your consent at any time. You can withdraw your consent at any time by contacting us using the contact details provided in the section "HOW CAN YOU CONTACT US ABOUT THIS NOTICE?" below, or, for the Gmail connection, by disconnecting it at any time as described in the section "THE GOOGLE / GMAIL CONNECTION."

However, please note that this will not affect the lawfulness of the processing before its withdrawal nor, when applicable law allows, will it affect the processing of your personal information conducted in reliance on lawful processing grounds other than consent.

Account Information

If you would at any time like to review or change the information in your account or terminate your account, you can:
  • Log in to your account settings and update your user account.
  • Contact us at business@baseballpath.com to terminate your account or request deletion of your personal information.
Upon your request to terminate your account, we will deactivate or delete your account and information from our active databases. However, we may retain some information in our files to prevent fraud, troubleshoot problems, assist with any investigations, enforce our legal terms, and/or comply with applicable legal requirements.

11. GLOBAL PRIVACY CONTROL AND DO-NOT-TRACK SIGNALS

Global Privacy Control: we honor it. If your browser or a browser extension sends a Global Privacy Control ("GPC") signal, we treat it as a valid opt-out of advertising measurement and of sharing for targeted advertising. Our advertising tools do not load and no advertising event is sent, on that browser, with nothing for you to click. A setting on this site cannot override a GPC signal. You can also opt out yourself with the Your privacy choices control at the bottom of this page.

The older Do-Not-Track ("DNT") browser feature is different, and we do not act on it. No uniform standard for DNT was ever finalized, and some browsers sent the signal by default rather than because a person chose it, so it does not reliably express anyone's preference. GPC is the successor signal, it is recognized under California, Colorado, and Connecticut law, and it is the one we honor. California law requires us to tell you how we respond to DNT signals, and this paragraph is that disclosure.

12. DO UNITED STATES RESIDENTS HAVE SPECIFIC PRIVACY RIGHTS?

In Short: If you are a resident of California, Colorado, Connecticut, Delaware, Florida, Indiana, Iowa, Kentucky, Maryland, Minnesota, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Rhode Island, Tennessee, Texas, Utah, or Virginia, you may have the right to request access to and receive details about the personal information we maintain about you and how we have processed it, correct inaccuracies, get a copy of, or delete your personal information. Will your information be shared with anyone else?

We may use your personal information for our own business purposes, such as for undertaking internal research for technological development and demonstration. This is not considered to be "selling" of your personal information.

We have not sold personal information for money, and we will not. We do share personal information with Meta Platforms to measure our advertising, which several state privacy laws treat as "sharing" for cross-context behavioral advertising or as "targeted advertising." The categories shared are identifiers (a hashed email address, an IP address, and advertising cookie identifiers) and internet activity (the pages you view on our site and whether you started or completed a purchase). Under certain US state data protection laws, you can designate an authorized agent to make a request on your behalf. We may deny a request from an authorized agent that does not submit proof that they have been validly authorized to act on your behalf in accordance with applicable laws.

Request Verification

Upon receiving your request, we will need to verify your identity to determine you are the same person about whom we have the information in our system. We will only use personal information provided in your request to verify your identity or authority to make the request. However, if we cannot verify your identity from the information already maintained by us, we may request that you provide additional information for the purposes of verifying your identity and for security or fraud-prevention purposes.

If you submit the request through an authorized agent, we may need to collect additional information to verify your identity before processing your request, and the agent will need to provide a written and signed permission from you to submit such request on your behalf.

Appeals

We will inform you in writing of any action taken or not taken in response to the appeal, including a written explanation of the reasons for the decisions.
